Refund and Cancellation Policy
Welcome to Vidhyarthi Mithram Educational Consultants Pvt. Ltd. ("Vidhyarthi Mithram", "we", "us"). We are committed to transparent, fair and prompt handling of all fee-related matters. This Refund Policy explains the circumstances under which refunds may be provided for services purchased through vidhyarthimithram.com or directly from our offices.
1. Nature of Our Services
We provide professional educational consulting services including, but not limited to:
- Academic profiling and eligibility analysis
- Country, university and course counselling
- Application preparation and submission
- Visa documentation guidance
- Coaching and test-prep services (where applicable)
- Pre-departure and post-arrival support
Because our services often require significant time, expertise and third-party payments, fees are generally non-refundable except as described below.
2. When Refunds May Be Considered
2.1 Visa Rejection
If a student receives an official visa refusal from the relevant embassy or consulate, a partial refund may be considered after deducting reasonable costs already incurred by us. Deductions may include:
- Third-party charges already paid (university application fees, testing/translation fees, embassy charges, etc.)
- Administrative and processing fees for services already delivered
To apply for a refund in this case, you must provide:
- A copy of the visa refusal letter
- Passport page showing the rejection stamp (if available)
- Receipts or proof of payments made to Vidhyarthi Mithram and to third parties
2.2 Withdrawal Before Service Commencement
If you cancel your request before we commence any processing or service, a refund may be issued after deducting an administrative charge. "Commencement" means any action taken by our team on your file — for example, document collection, application submission or payments to external bodies.
2.3 Company Inability to Deliver
In the unlikely event that Vidhyarthi Mithram is unable to deliver contracted services due to operational closure or force majeure, we will refund fees on a prorated basis after deducting any unavoidable third-party costs.
3. Situations Where Refunds Are Not Available
Refunds will not be provided in the following situations:
- Services have already commenced or substantial work has been completed on your file
- Student withdraws after processing has begun
- Visa refusal attributable to student-related issues such as false/incomplete documents, inadequate financial proof, or adverse immigration history
- Failure to provide required documents or information within the timelines requested
- Change of course, university or country by the student after application submission
- Any fees paid directly to universities, embassy/exam bodies or other third parties (these are non-refundable)
4. How to Request a Refund
- Send a written request to our support team at support@vmacademy.co with subject line: Refund Request – [Student Name] – [Application ID].
- Attach all supporting documents (visa refusal letter, passport copy, payment receipts).
- Our team will acknowledge receipt within 5 business days and begin verification.
5. Refund Processing Time & Method
Approved refunds will be processed within 15–45 working days after verification. Refunds are issued only by bank transfer or UPI to the registered student's or parent/guardian's account. We do not provide cash refunds.
6. Alternatives to Refunds
If a refund is not applicable, you may request one of the following (subject to our approval):
- Transfer of services to another eligible program or country (additional fees may apply)
- Transfer of services to a family member or another student (requires management approval)
7. Management Review & Final Decision
All refund requests are subject to internal review. The decision of Vidhyarthi Mithram's management team shall be final and binding.
8. Acceptance of This Policy
By registering with Vidhyarthi Mithram and making a payment, you and your parent(s)/guardian(s) acknowledge that you have read, understood and accepted this Refund Policy.
